Director of Academic Operations System Technology and Data Analysis

About the Opportunity

The Director functions in a strategic position in the College, providing oversight and leadership of the management, collection, and distribution of academically related data. The Director provides strategic leadership to define and collect metrics related to program and instructional quality and develops dashboards to enable academic and other CPS units to make data-informed decisions around curriculum, learner experience, and program and instructional quality. The Director supports key projects through database and data quality management, computational support, and data interpretation and leads the development of all internal ad hoc reporting to support the data driven decision-making needs of the College.

They Director also guides all functions associated with registrar operations, including transfer credit evaluation and issuance, class schedule and academic program development, academic policy development and interpretation, grading, student record compliance, and registration functionality and serves as the functional student record expert for the College's student information system. The Director coordinates with key administrative offices, stakeholders, and colleges on internal and external initiatives, and utilizes data analysis to support strategic business decisions.

The hiring level will be determined based on experience

50% Registrar Operations:

Lead and manage all aspects of registrar operations. Monitor course change proposals through the academic governance process and ensure college participation in comprehensive cross-functional implementation of changes, including working collaboratively with enrollment, advising, compliance, and the Registrar's office to ensure that all curriculum publications (course offerings/schedules and syllabi) are accurately and timely prepared. Provide reports on class schedules, prerequisite compliance, student enrollment, student records, room utilization, and course data to support College planning and decision-making activities. Lead the development and management of policies and procedures to ensure excellent service in registrar operations, including scheduling and registration processes, record maintenance, transfer credit evaluation, and self-service modules, and in communication to internal and external constituents to support academic and institutional integrity.

40% Data Management:

Manage the development of academically related data reporting to support the College's ability to make strategic, data-informed decisions at the administrative level. Focus on qualitative and quantitative student data related to predictive class scheduling and scheduling efficiencies, faculty data, and academic operational data.

10% Supervision:

Lead the Registrar Operations team to support internal and external partners. Develop and distribute annual performance reviews. Provide guidance, support, and feedback to the team to ensure consistent progress on projects and daily work.

Qualifications:

Bachelor's degree required, master's degree preferred, with a minimum of 5 years of experience in higher education, including knowledge of and experience in data management, student records, registration functionality, and records management. Knowledge of FERPA regulations and, experience with student information systems, and reporting tools such as Hyperion, TOAD, and Tableau are all required.

Strong leadership and effective communication skills are required. The successful candidate will demonstrate excellent interpersonal skills and the ability to relate to diverse constituencies. Effective administrative, supervisory, and organizational skills and evidence of excellent decision-making skills are required. This position requires project management experience and a demonstrated ability to manage rapidly evolving priorities.

  • Demonstrated ability to collect, analyze, and present data to allow senior leadership to make informed decisions to support the College.
  • Experience with the study, analysis, evaluation, development, or improvement of administrative policies, procedures, practices, or programs.
  • Working knowledge of budget policies and procedures.
  • Ability to compile, write, and present reports related to program or administrative matters.
  • Demonstrated ability to coordinate complex projects.
  • Proven ability to prioritize tasks effectively and adapt easily to changing or conflicting priorities.
  • Superior critical thinking and organizational skills with the ability to multi-task and work in a fast-paced environment.
  • Functional knowledge of Banner or similar ERP or Salesforce a plus.
  • Experience with union contracts, faculty, and student data.
  • Ability to prioritize multiple responsibilities and work independently.
  • Must possess ability to work collaboratively with faculty, and university-wide administrators, engaging people to move to consensus.
  • Able to process and handle confidential faculty, personnel, and salary information with the utmost professionalism.
