Associate Director - Student Ctr Operations

About the Opportunity

JOB SUMMARY:

The Associate Director of Operations will report directly to the Senior Associate Director of Student Space Operations, Event Management and serve to represent the area in the absence of the Director. He/she is primarily responsible for running the operations of the Curry Student Center, but will also support the operations of Event Management run student study spaces. This includes matters involving daily operations, event and meeting support, maintenance, safety and security, scheduling/reservations for students, staffing, and logistics. The Associate Director may also be called upon to assist as needed with other major events or programming scheduled on campus.

The Associate Director of Operations will work with the Senior Director and the Event Management staff to serve a diverse variety of needs from customers such as university academic and administrative staff, students, and community populations as they access the services and programs of these facilities.

The Associate Director will help ensure that programs and services in the Event Management venues be run in a professional manner and are responsive to the ever changing students and community needs in accordance with the mission of the university. There will be instances where this position may be called in to support some instances outside their regular hours of operation, including early mornings, nights and weekends, depending on the events the department is hosting.

The Associate Director will also assist the Event Management team with the recruiting, hiring, training, and supervision of the student employment program for the Student Center and other student study spaces on campus run by the department.

A flexible schedule is needed for this position. The standard working days are Monday - Friday but this role will need to work morning, evening and weekend shifts when necessary.

RESPONSIBILITIES INCLUDE:

Administrative Duties
  • Assist the Director with the invoice process for clients utilizing the venues.
  • Develop and maintain website content for all assigned spaces.
  • Be responsible for assisting with maintenance of the key inventory as well as administration of security access and building lock systems including core and electronic access systems.
  • Maintaining the client reservations for digital signage and the west addition windows (run via the Formsite web-based online Form Builder software).
  • Maintenance of the Curry Student Center website.
  • Assistance with oversight/management of Event Management's database within EMS (event scheduling management software).
  • Oversight of the 4 Aerva digital signage systems in the Curry Student Center and assistance with the 2 Aerva systems in Afterhours as well as the 2 in front of Blackman Auditorium.

Building Tenant Services
  • Liaison to all CSC tenants/space users.
  • Liaison with the Food Court, Bookstore, Curry Student Center Employees and Student Organization Office Occupants to ensure adequate service delivery.
  • Oversight of maintenance of the 1,600 student lockers in the Northeastern tunnel system which "residents" turn over 3 times per year. Supervise the allocation and upkeep of these services.

Assessment and Benchmarking
  • Assess and benchmark programs and services as required.
  • Assist with the Event Management Benchmarking studies as required.
  • Assess and disseminate building use and analysis.
  • Conduct other benchmarking studies as required.

Facility Management
  • Assist with the daily operation of the entire student center and other department-run student spaces to ensure facilities operate in a safe, secure and professional manner in accordance to the policies and procedures of the university and Event Management department. These spaces include, Campus Crossroads, the Operations Desk, the Game Room, event spaces and student study spaces.
  • Coordinate and review scheduled use of venue space from a daily/weekly/monthly perspective with customers, facilities, scheduling, public safety, ticketing as well as other members of event management staff so that communications regarding space usage, event details, room setups and operating hours are clearly communicated in a manner that provides quality customer service.
  • Track renovations and work order requests and report progress to the Senior Director.
  • Assist with the management of capital assets to ensure that building resources are responding to users/student needs. Purchase and maintain equipment, supplies and services for ongoing operation of complex.
  • Oversight of the 50+ CBord electronic locks in the student center and other Event Management venues. Responsible for student access to student group resources.
  • Assist with supervision of all renovation planning and upgrades. Act as the liaison between Student Affairs, Facilities Project Management and Information Technical Services' (ITS) project management teams.

Staffing
  • Supervise two full time employees (Assistant Director of Student Space Operations and Assistant Director of CSC Operations), two co-op positions, as well as part time student and non-student staff.
  • Assist the Senior Director with recruiting, hiring and developing student supervisors, work study students in areas of safety & security, policies and operations. Supervise the co-ops who support the Event Management team.
  • Develop job descriptions, performance expectations and evaluation tools for professional staff, work-study and part-time employees. Provide performance feedback to the student employees.
  • Approve payroll for all CSC co-ops and Event Management part time/work-study staff.
  • Oversee operations and maintain the student staff schedules of the Info Desk (Campus Crossroads), the Game Room, the Operations Desk, student study spaces, and other events as needed, while staying on budget.

Student Involvement/Leadership
  • Assist the Senior Director to develop specific practice oriented experiences to develop student leadership, so that when students graduate from Northeastern, their experiences in Event Management will help strengthen their resume and make them better candidates for employment.
  • Recruiting, hiring and training student co-ops.
  • Assist with training and assignment of duties for all operations staff: technical, customer service, event operations, event management, Building Manager staff and office assistants.


MINIMUM QUALIFICATIONS
  • Master's degree in Business, Operations, Technology or related field
  • 5-7 years full time experience in operations/facilities management.
  • Demonstrated understanding of philosophy, role and purpose of a student center/union as well as student activities.
  • Strong interpersonal, communication, supervisory and technical skills, ability to work well with diverse populations.
