Position Announcement

Utah Valley University is seeking an Admin Support IV! Working under the direction of the AVP of Development, the Admin IV will provide executive-level, advanced, and highly confidential administrative support duties requiring a variety of skills and knowledge of organizational policies and procedures. The Admin IV will act as a point of contact for the AVP of Development and liaison between other employees in development departments and throughout the Institutional Advancement division. This employee will coordinate the AVPD's travel and office financial activities, including reconciling expenditures to include procurement cards, and will track and monitor budget transactions as assigned. The Admin IV will always pursue excellence and professionalism while seeking to coordinate meetings and will play a central role in facilitating meetings which will include, formulating a professional agenda, note taking, assignment tracking, setting up and arranging for AV, and any associated supporting tasks to ensure a seamless experience for all. This position will also serve as an example and lead the effort to train, onboard, and off-board new employees for the Development team.

Summary of Responsibilities


  • Performs advanced and confidential administrative support duties for the AVP including but not limited to scheduling and calendaring, composing routine correspondence, planning meetings/lunches for key internal and external key stakeholders, keeping meeting minutes, and prioritizing the AVP's administrative needs.
  • Coordinates the preparation and submissions of reports that support and enhance the work of the university's fundraising team. Coordinates digital gift agreements, travel, reimbursements, requisitions, purchase orders, index tracking financials, budget reconciliations, budget balances, etc.
  • Handles incoming calls and walk-in traffic; and provides correct and accurate information to visitors.
  • Maintains inventory of office equipment and supplies and handles other office duties as necessary.
  • Performs other duties as assigned.


Minimum Qualifications

Graduation from an accredited institution with a bachelor's degree and one year of experience related to the Summary of Duties or an associate degree and three years of experience related to the Summary of Duties or any combination of education and/or experience totaling five years.

Preferred Qualifications:
Event management skills preferred.

  • Knowledge of best practices in internal and external communications, correspondence, and appropriate etiquette in various professional and social settings.
  • Knowledge of databases and accounting software usage.
  • Knowledge of fund development is helpful.

  • Skills with general bookkeeping with monitoring budgets.
  • Strong editing and writing skills, including written correspondence.
  • Skills in basic business math.
  • Exceptional organizational skills.
