Job Summary

The Enrollment Management division at CU Boulder welcomes applications for three Visitor Experience Coordinators within the Visitor Experience department. Visitor Experience Coordinators play an essential role in advancing CU Boulder's commitment to creating a welcoming, engaging, and inclusive environment for prospective students, families, school groups, and community partners. Coordinators support the full lifecycle of the visit experience by planning and delivering high quality programs, managing logistics and communication workflows, and collaborating closely with campus partners to ensure seamless daily tours, school group visits, and signature events. Individuals in this role bring strong organizational skills, attention to detail, creativity, and a solution focused mindset that helps maintain a dynamic and responsive visitor experience. They contribute to a culture of innovation, continuous improvement, and culturally responsive engagement, while building strong relationships across campus, supporting student ambassador development, and advancing programs that foster curiosity, belonging, and connection for all visitors.
These positions collaborate closely with many Enrollment Management departments including the Office of Admissions, Marketing & Communication, and the Office of Precollege Outreach & Engagement to ensure all programs are mission aligned, developmentally appropriate, and impactful for all communities. These roles report to the Assistant Director and Sr. Assistant Director of Visitor Experience. What Your Key Responsibilities Will Be


School Visit Program Coordinator
Program Coordination & Event Support
    • Design, build, and deliver school visit programs ranging from large-scale group visits to small cohort experiences and virtual presentations, ensuring each program is engaging, developmentally appropriate, and mission aligned.
    • Partner deeply with the Office of Precollege Outreach & Engagement to create culturally responsive, experiential visit models tailored to student needs.
    • Coordinate all program logistics including outreach, reservations, transportation, communications, presentations, tour development, surveys, and ambassador support and scheduling.
    • Collaborate with fellow Visit Experience Coordinators to ensure aligned practices, shared resources, and seamless visitor experiences across age groups.
    • Apply innovative, growth-minded approaches to expand programming and increase capacity, including piloting new visit and outreach formats, interactive modules, or hands-on learning experiences.
    • Accurately track attendance patterns, survey data, and program outcomes to evaluate effectiveness and recommend enhancements.
    • Partner with School of Education to develop an appropriate school curriculum designed to introduce higher education to elementary, middle and high school students in an engaging way that is inclusive of all populations. Identify learning outcomes and the importance of early college exploration.
    • Partner with the Assistant Director and recruitment leadership to ensure programming aligns with strategic outreach and access priorities.
    • Broaden virtual and on campus offerings to reach diverse and historically underserved communities across Colorado.
    • Support the design and execution of the Week of Ralphie events to support high-volume high school group visits.
    • Maintain strong communication and collaborative relationships with internal colleagues, middle and high schools, community-based organizations, government partners, academic departments, student life units, cultural centers, and campus teams to build cohesive, impactful experiences.
    • Co-plan a series of 1-2 major campuswide visit events including but not limited to: Discover CU Boulder, Explore CU Boulder, Admitted Student Day, Admitted Buff Days, Dive Into CU, and other large volume events.
    • Curate programming that showcases signature CU Boulder experiences by weaving in major University initiatives, history, and celebratory milestones, including the 150th anniversary events, to enrich visitor engagement.
    • Serve as the primary backup for other Visit Experience Program Coordinators and support additional programs led by other Visitor Experience staff.
    • Collaborate with Marketing & Communications to ensure that all information session content is accurate, timely, engaging, and aligned with CU Boulder's brand, voice, and storytelling priorities.
    • Provide operational support for virtual and in-person events, including occasional evenings and weekends.
Student Ambassador On-Site Supervision & Training
    • Support the recruitment, training, and ongoing development of Student Ambassadors who staff school group visit programs, with direct supervision responsibilities assigned based on program focus.
    • Contribute to the design and delivery of training modules centered on youth engagement, safety, developmental awareness, culturally responsive tours, and effective group management.
    • Provide coaching, feedback, and mentorship that encourages ambassadors to be innovative, reflective, and solution oriented.
    • Foster a supportive, collaborative team culture; refine routes, scripts, engagement activities, and training materials based on visitor feedback, data, and observed needs.
    • Where applicable, oversee student timesheet approval and scheduling to ensure adequate coverage for group visit programming.
    • Serve as an onsite lead or key partner during school group visits, supporting real-time ambassador guidance, quality assurance, and visitor engagement.
Operations & Reservations Management
    • Manage program reservations, scheduling, and logistics with strong attention to detail and accuracy.
    • Apply an innovative, solution focused mindset to proactively identify opportunities, resolve issues, and streamline operational workflows.
    • Contribute to the continuous improvement of reservation systems, guest communication processes, and event execution.
    • Partner with the University Memorial Center and Visitor Experience Teams to submit the Event Management Form (EMF) process for Visitor Experience events of which they are coordinating.
    • Support University Memorial Center (UMC) and Visitor Experience Team coordination of UMC bookings/reservations, including room set ups, catering orders, and accuracy verification.
Committee Participation & Professional Development
    • Serve on committees or task forces that advance Visitor Experience and enrollment goals.
    • Participate in workshops, conferences, and professional development opportunities including the Admissions Recruitment Kick-Off and application reader trainings.
    • Engage with state and national organizations to remain current on best practices in precollege outreach, early college awareness, and youth engagement.
    • Support the Center for Academic Success & Engagement Building (CASE) and tour operations requiring occasional Saturday coverage and Counselor on Duty rotations.
Specialized Events & Engagement Coordinator
Event Coordination, Logistics, & Operational Support
    • Provide event planning expertise and logistical coordination for high impact visit programs, supporting event leads with timelines, structure, best practices, and operational execution.
    • Assist with the coordination logistics for specialized programs including Top Scholar and Boettcher events, counselor programs, access and community-based organization (CBO) engagements, transfer events, and virtual programs.
    • Maintain clear documentation, timelines, staff assignments, and communication pathways to support continuity and reduce planning burden on event leads.
    • Track logistical elements such as staffing assignments, guest pathways, signage, parking, hotel blocks, hospitality, arrival flows, and wayfinding.
    • Support simultaneous planning and execution of large scale events including Admitted Student Day, Admitted Buff Days, and Explore CU Boulder.
    • Serve as the project manager and connective layer between planners, presenters, partners, and service units to ensure accurate and timely flow of information.
    • Build and maintain strong relationships with academic colleges, student service units, Housing & Dining, Parking & Transportation, campus venues, and external partners.
    • Facilitate alignment meetings, briefings, and logistical coordination sessions.
    • Support event design elements that strengthen belonging, inclusivity, navigation clarity, and a welcoming guest experience.
    • Identify opportunities to improve operational flow, refine logistics, and enhance the guest journey with thoughtful details.
    • Partner with Marketing & Communications on brand aligned materials, communications, and presentations.
    • Support the Center for Academic Success and Engagement (CASE) building operations, occasional Saturday coverage, and Counselor on Duty rotations.
    • Partner with the University Memorial Center (UMC) and Visitor Experience Teams to submit the Event Management Form (EMF) process, bookings/reservations, including room set ups, catering orders, and accuracy verification.
    • Collaborate with the Slate/CRM Events team on event setup, registration workflows, templates, communication flows, and survey deployment.
Innovation, Program Development, & Experience Enhancement
    • Collaborate with Admissions event leads to reimagine and elevate long standing special population events through innovative ideas, fresh program formats, experiential enhancements, and creative engagement models.
    • Research and recommend programming opportunities, hotel based experiences, location based offerings, or expanded modalities that enhance recruitment for specific populations.
    • Contribute to continuous improvement cycles by analyzing event outcomes, identifying gaps or opportunities, and recommending refinements for future cycles.
    • Support the development of pilot programs or reimagined initiatives aligned with Enrollment Management's strategic vision.
    • Maintain strong documentation of innovations, templates, and program models to ensure replicability and consistency.
Departmental Support, Virtual Programming, & Additional Duties
    • Support virtual programming setup, facilitation, and chat/Q&A operations across enrollment management.
    • Assist with department wide initiatives, cross functional events, and specialized projects as assigned by the Senior Assistant Director.
    • Represent Visitor Experience on committees, task forces, or project teams advancing recruitment, access, and guest experience goals.
    • Participate in workshops, conferences, and professional development opportunities including Admissions Recruitment Kick-Off and application reader trainings.
Tour & Ambassador Coordinator
Student Ambassador Recruitment, Training, & Development
    • Oversee the hiring, training, and operations of 120+ student ambassadors and the student executive board. Meet weekly as a group and support development through consistent executive board one-on-one meetings.
    • Oversee student staff scheduling to ensure adequate coverage for tour and presenter programming success.
    • Maintain uniform inventory, orders, and distribution.
    • Approve student timesheets ensuring timely submission and accuracy.
    • Develop and deliver robust training programs supporting: guest centered hospitality practices, professional skills, and leadership development.
    • Foster a culture of innovation, confidence, inclusivity, and growth among ambassadors.
    • Provide ongoing coaching, performance management, and recognition.
    • Support quality assurance by monitoring guest feedback, shadowing information sessions, tours, and addressing issues reported by campus partners.
    • Deliver safety and emergency preparedness training to ambassadors.
    • Develop, maintain, and update manuals, policies, and procedures to ensure the highest level of student staff training, safety, and security.
Campus Tour Leadership & Daily Operations
    • Lead the planning, coordination, and execution of daily campus tours across multiple daily time slots and tour type offerings.
    • Develop and coordinate a package of customized tour type offerings to expand personalization opportunities.
    • Manage tour setup, flow, route design, wayfinding, ambassador assignments, and day adjustments to ensure seamless, high-quality experiences.
    • Oversee all tour programming and contribute to scheduling, staffing, and operational readiness.
    • Serve as the primary point of contact for VIP tours, designing customized, high touch experiences for distinguished guests.
    • Support the Center for Academic Success & Engagement Building (CASE) and tour operations requiring occasional Saturday coverage and Admissions Counselor on Duty rotations.
    • Collaborate with Marketing & Communications to ensure that all information session content is accurate, timely, engaging, and aligned with CU Boulder's brand, voice, and storytelling priorities.
    • Maintain up-to-date knowledge of academic offerings, campus updates, student life, and admissions information to ensure content accuracy.
    • Ensure that all guest interactions from arrival to departure embody a welcoming, inclusive, and positive CU Boulder experience.
    • Troubleshoot visitor concerns, mobility needs, or real-time operational challenges with empathy and solution focused thinking.
    • Assist the Senior Assistant Director in implementing hazardous weather protocols, redirecting tour routes, and making operational decisions during inclement conditions.
    • Respond to on-route incidents professionally and with guest centered communication.
    • Develop, maintain, and update emergency trainings, manuals, policies, and procedures to ensure the highest level of safety and security.
    • Manage guest amenity offerings and training of student staff to provide refreshments for attendees. Oversee the sanitation, quality, and production of refreshments.
Visitor Experience Program Support & Development
    • Serve as the lead event manager for 1-2 Large Scale Visitor Experience event series per year.
    • Support the planning, coordination, and execution of large-scale visit events including Admitted Student Day, Admitted Buff Days, Explore CU Boulder, and other high-volume programs.
    • Partner with University Memorial Center (UMC) and Visitor Experience Team to submit the Event Management Form (EMF) process for all on campus Visitor Experience events and coordinate UMC & CASE bookings/reservations, including room set ups, catering orders, and accuracy verification.
    • Serve on committees or task forces that advance Visitor Experience and enrollment goals.
    • Participate in workshops, conferences, and professional development opportunities.
    • Engage with state and national organizations to remain current on best practices in precollege outreach, early college awareness, and youth engagement.
    • Support the Center for Academic Success & Engagement Building (CASE) and tour operations requiring occasional Saturday coverage and Counselor on Duty rotations.
    • Attend Admissions Recruitment Kick-Off and application reader trainings.



What You Should Know

These positions offer a hybrid work schedule with on-campus presence required 4 days a week.

  • A bachelor's degree or equivalent combination of education and experience may substitute.
