The Division of Continuing Education at the University of Colorado, Boulder encourages applications for an Online Credit Program Administrative Coordinator! This position provides essential administrative, scheduling, payroll, and communications support for the Continuing Education Online Credit (CEOC) program. The role focuses on accurate execution of established processes, timely coordination with campus partners, and clear communication with faculty, students, and campus partners to support the smooth operation of more than 200 online courses per semester.

What Your Key Responsibilities Will Be
Course Scheduling and Academic Coordination:
- Build and maintain a term-based course schedule for over 200 CEOC online classes each semester.
- Connect with academic department partners on main campus to receive, confirm, and track course appointment information, including: class details, instructor assignments, session information, course history/prior offerings, and other information required for CEOC operations and reporting.
- Prepare and submit complete and accurate course information to CE Records in accordance with established goals.
- Communicate course changes, updates, and cancellations to campus partners and affected faculty, with particular attention to time-sensitive correspondence.
- Maintain accurate records related to course scheduling, appointments, and historical offerings.
- Submit service requests for all faculty teaching new courses for CE to the Learning Design Group.
- Update Course Descriptions and Class Notes in collaboration with CE Records, faculty and departments to ensure course details are up to date and accurate.
- Maintain a current calendar of important dates related to courses, enrollment windows, term-based events and regular program updates.
Payroll and Financial Administrative Support:
- Maintain accurate and up-to-date source information for all CEOC courses to support payroll processing for more than 200 lecturers and Graduate Part-Time Instructors (GPTI) each term.
- Generate offer letters for lecturers, graders, peer mentors, and related instructional roles each semester, ensuring accuracy of appointment details.
- Send, track, and archive offer letters using the university's electronic signature platform (DocuSign).
- Communicate GPTI and other graduate student appointment information to the CE Finance Manager and Payroll Liaison each term.
- Initiate Additional Job Request (AJR) forms and other required documentation for faculty appointments as needed.
- Provide administrative support for the quarterly payroll and grade submission review process for CEOC Flexible Online faculty.
Communication and Faculty Support:
- Compose, schedule, and manage regular mass email communications to students related to semester start announcements and academic support initiatives.
- Maintain current email distribution lists and contact records for CEOC faculty, academic department partners, and campus liaisons.
- Send periodic mass communications or requests for information to CEOC faculty, including: course start reminders, grade roster availability notifications, administrative drop updates, and faculty meeting announcements.
- Confirm GPTI status each semester prior to submission of appointment information to CE payroll.
- Collect course syllabi from faculty for all new or revised courses and maintain organized program resource files.
- Maintain an up-to-date repository of curriculum vitae or resumes for all CEOC faculty.
- Manage the CEOC program email inbox by responding to routine inquiries, routing messages to appropriate colleagues or partners, and advancing issues to the Assistant Director or Director as needed.
Information Management and Report Generation:
- Use CU Data Portal and other approved systems to create, update, and distribute standard operational reports, including: weekly enrollment reports, student enrollment/contact lists, and program enrollment omnibus reports.
- Maintain Excel-based tracking documents and reports to support scheduling, payroll, and communications processes.
- Serve as a central point of contact for administrative information related to CEOC courses, processes, and timelines.
- Provide administrative support for student-facing and faculty-facing initiatives as directed.
- Assist with data collection, recordkeeping, and documentation required for internal reviews, audits, and compliance processes.
- Develop and maintain procedural documents and program manual.
Other duties:
- Serve on Continuing Education or main campus committees.
- Assist with special events and complete special projects as assigned by the Director.
- Participate in Division of Continuing Education staff and management meetings and Division workgroups to develop and employ collaborative processes for Division operation.
- Undertake other duties, responsibilities, and special projects as assigned.
What You Should Know
- The work schedule for this position is Monday-Friday, 8:00 AM - 5:00 PM.
- This position offers a hybrid work modality with the expectation of at least 2 days in office.
What We Can Offer
The annual salary range for this full-time position is $62,400 - $68,000.
Relocation assistance may be available per divisional guidelines.

What We Require
- Bachelor's Degree from an accredited four-year institution or equivalent combination of education and experience may substitute.
- 1 year of professional experience related to the position, such as program coordination, student advising, or administrative support.
What You Will Need
- Demonstrated ability with Excel, Word and other Microsoft Office tools as well as virtual platforms (Zoom, Teams, etc.)
- Problem solving skills and ability to develop innovative approaches to solving problems.
- Ability to use excellent judgment and conscientious insight when troubleshooting course or student issues.
- Excellent communication, time management and organizational skills.
- Interest in learning and a talent for clearly explaining concepts to instructors and students.
- Ability to learn new technologies and software efficiently.
- Comfortable working independently as well as on a team.

- Experience working with underrepresented ethnic minority students in a higher education environment.
- Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.
