PS Administrative Assistant
Job Summary
Provides secretarial and administrative office support. Performs a variety of clerical duties in accordance with specific instructions and established work procedures, typically under close supervision. Follows written and verbal instructions to accomplish assignments, sometimes of a routine and repetitive nature.

- Provides administrative support to administrative manager and department.
- Prepares correspondence, including composing routine letters and memos.
- Help schedules appointments as needed.
- Establish and help maintain the department's quartermaster system, including inventory control, issuance of uniforms and equipment, and tracking replacements or returns.
- Submit orders for supplies to administrative manager and help maintain supplies for department.
- May distribute mail and other supplies for department.
- Provides additional general office support such as greeting and directing visitors, handling incoming calls.
- Prepare and present reports, data and information, meeting minutes.
- Help maintain records as needed.
Problem Solving
The incumbent may be required to prioritize tasks received from multiple staff members and determine the order of importance. The incumbent must use discretion and judgement when scheduling appointments and in screening calls. The incumbent may coordinate work processes with other departments, community, governmental or regulatory
agencies and must understand the objectives and policies governing the activities of the department and be able to effectively communicate this information to interested parties.

Minimum Qualifications
Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
This position is patient-sensitive and must fulfill all associated requirements.
