Job Description Summary
Residential & Hospitality Services is one of 17 departments reporting to the Division of Business Services. Consistent with the Business Services mission, our underlying philosophy is to provide our clients with high quality services in a fiscally responsible manner. Residential & Hospitality Services is a group of dedicated, innovative, and student-centered staff that oversee the on-campus living and dining, as well as conferences, programs and events hosted at Penn. The team works closely with other partners to provide students and guests with services that support living and learning at the University of Pennsylvania.

Job Description

Conference & Hospitality Services provides professional expertise for conference, programs, and events hosted at Penn. By showcasing the impressive array of facilities and resources the University has to offer, we strive to make Penn a destination of choice for meeting and event planners. The department is also responsible for the oversight of residential operations, facilities, and support services to the many academic programs, sports camps, meetings, and conferences happening on campus during the summer at Penn. The employment dates for this Summer's Hiring will be May 15, 2025 - August 16, 2025.

If you are interested in a housing extension before and/or after your summer housing begins/ends, you may work as a Move-Out/In Coordinator (only available to Penn students currently enrolled in degree-seeking programs).

This summer, we have the following roles available:

Guest Services Attendant:

The Guest Services Attendant will share responsibility for making each student, conference, and program participant feel welcome on Penn's campus. They will serve as a front-line customer service representative and a central service provider for residential and visiting guests. The attendant will provide administrative support to the Guest Services Manager and Residential Services Manager in managing access, emergency room assignments, and daily report logs. Additionally, they will cooperate with the Information Centers to support move-in/move-out, address facilities issues, and cover other Information Centers as needed. This role will assist in all phases of Information Center operations, including providing excellent customer service, creating move-in materials, managing access, and addressing facilities and housekeeping concerns. The Guest Services Attendant supports and fosters the customer service goals of Hospitality Services.

Compensation: $15.00 per hour

Guest Services Manager:

The Guest Services Manager plays a vital role in presenting Penn as a hospitable, service-oriented institution. The manager assists the Residential Services Manager in overseeing the day-to-day operations of the Information Center. They will serve as the primary contact for Hospitality Services staff, FRES, Building Operations, residential program leaders, and other university partners. This role includes managing the Information Center, training, supervising, and assigning work to Guest Services Attendants in collaboration with the Residential Services Manager. The Guest Services Manager will also assist with documenting, evaluating, and following up on facilities requests, and will help manage front-line emergency responses (e.g., fire alarms, facilities emergencies). This role involves participating in a weekly duty rotation during evenings and weekends and providing regular communication on all activities.

Compensation: $16.00 per hour and partial meal plan

Hospitality Intern:

The Hospitality Intern serves in a cross-functional capacity, assisting in the operations of Hospitality Services. Reporting directly to the Associate Directors, Program Managers, and Coordinators, each intern will focus on a specific area (events, operations, front-line) while supporting the entire Hospitality Services team. The role requires flexible availability, including some weekend work. Intern duties include answering the main phone line and email account, responding to customer inquiries, performing data collection and entry, communicating with clients and participants, ensuring the accuracy of program content, and assisting with the preparation and distribution of materials. Interns will also communicate with internal partners such as Housing, Dining, Catering, Transportation, and PennCard. Additional duties may be assigned as needed.

Compensation: $16.00 per hour

Hospitality Operations Assistant:

The Hospitality Operations Assistant plays a vital role in the behind-the-scenes projects that create a seamless, customer-focused operation, helping present Penn as a hospitable institution. The role involves performing physical, facilities-related, and logistical tasks to support summer operations, including assisting guests with move-in and move-out processes. Responsibilities also include providing set-up and breakdown support for large program events, move-in/move-out days, and parking/traffic control. The Operations Assistant will conduct facility inspections to identify safety, housekeeping, and condition-related issues. Additional duties include distributing guest amenities, managing inventory, covering Information Centers as floater, and maintaining clean storage areas.

Compensation: $15.00 per hour

Hospitality Operations Manager:

The Hospitality Operations Manager leads the effort to make each student, conference, and program participant feel welcome on Penn's campus. This individual will train and supervise a team of Operations Assistants to ensure smooth and customer-focused operations. Responsibilities include overseeing logistical and operational projects such as signage, staffing, payroll, move-ins and move-outs, parking control, cart management, amenity delivery, and facilities inspections. As a project leader, the Operations Manager will schedule and assign work to inspection teams, ensure quality control, and handle inspections in a timely manner. This role also involves leading weekly staff meetings and participating in a weekly duty rotation during evenings and weekends.

Compensation: $16.00 per hour and partial meal plan

Summer Community Advisor:

The Summer Community Advisor helps make each student, conference, and program participant feel welcome on Penn's campus. Acting as a university liaison and campus resource for 30-60 students in on-campus housing, the Summer Community Advisor is responsible for administrative, programming, and judicial duties related to residents. The position reports to the Summer Residential Director and participates in the weekly duty rotation for after-hours student issues. As a live-in position, free on-campus housing is provided. Duties include building relationships with residents, creating programming to support their needs, responding to academic, social, and personal concerns, and balancing student needs with institutional priorities.

Compensation: $15.00 per hour and partial meal plan

Summer Resident Director:

The Summer Resident Director is responsible for making each student, conference, and program participant feel welcome on Penn's campus. Acting as a university liaison and campus resource for approximately 200 students, the Summer Resident Director also manages the Summer Community Advisors. The position requires administrative, programming, and judicial duties and is a live-in role with free on-campus housing. The Summer Resident Director reports to the Associate Director of Operations and serves in a weekly duty rotation for after-hours student issues. Duties include maintaining relationships with residents, addressing concerns, creating programming, and balancing student needs with institutional goals.

Compensation: $16.00 per hour and partial meal plan

Qualifications

University of Pennsylvania Undergraduate and Graduate work-study students preferred.

High school diploma or equivalent required with 1 to 2 years of progressively responsible customer service experience. Should possess excellent customer service skills and the ability to adapt well to unexpected situations. Must take direction well and promote a team atmosphere; Strong work ethic is also a must. Ability to lift 25lbs and knowledge of the area surrounding the University of Pennsylvania are preferred. Must represent the University of Pennsylvania in a positive manner and be able to work collaboratively with students, administrators, and other members of the Penn community.

A comprehensive background check will be undertaken for this position. Staff must complete PA-ACT 153 clearances to work with minors before starting. The required clearances are:
  • PA Criminal Search,
  • PA Child Abuse Certification
  • FBI Criminal History Clearance


Business Services will pay for these clearances and assist staff in obtaining. The University does not accept previously issued PA Criminal or Child Abuse Searches.
