Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $25.77 to $30.98/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $25.77 to $43.58/hour.

Brief Summary of Job Duties:

Under the supervision of the Student Affairs Manager (SAM), and as part of the Undergraduate Advising team, supports all aspects of the Computer Science (CS) undergraduate programs. Serves as one of the initial sources of information and advises major students, prospective major students, and non-major students regarding general department requirements. Monitors every aspect of progress towards degree and counsels students as appropriate. Initiates, maintains, and evaluates students' academic records, processes petitions, checks prerequisites, and performs other administrative tasks. Ensures grades are reported for undergraduate students and updates the Schedule of Classes and other publications. Serves as one of the departmental liaisons with the Office of the Registrar on matters pertaining to departmental courses grades and undergraduate records. Works within a team environment within the Student Affairs area and department, and assists with the ongoing workload.

  • Ability to multi-task and prioritize tasks in conjunction with multiple deadlines and frequent interruptions.
  • Ability to work with a diverse group of students, faculty and staff and other campus offices on a variety of tasks.
  • Strong problem-solving skills.
  • Ability to be accurate and thorough with careful attention to details.
  • Ability to use various programs (Excel, Word, Google) to complete required tasks.

Preferred Qualifications:
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Knowledge of UCSB policies, procedures and requirements.

Job Functions and Percentages of Time:
  • 65% Undergraduate Program Advising - *Advises students who seek answers to questions about the CoE and CCS policies and procedures, information about our Computer Science program, and major requirements. *Provides advising to new and prospective undergraduates regarding the CS major program, major degree requirements, enrollment procedures, academic policies and university and departmental rules and regulations. *Performs degree progress checks on CS majors. Confirms prerequisites and major requirements are being met and advises students of progress and/or problems. *Advises continuing undergraduates on academic matters regarding program requirements and petitions. *Advises students of progress and status in the major.


  • 20% Departmental Administration - In partnership with the Undergraduate Program Coordinator and Student Affairs Manager, performs the following administrative tasks: *Collects and maintains statistical information regarding freshmen, transfers, change of majors, course enrollments and waiting lists, and advises both faculty and staff to make necessary adjustments. *Gathers articulation information for colleges not represented on Assist.org; *Responsible for preparing and updating the quarterly Schedule of Classes using Ad Astra and STAR. *Responsible for ensuring approval codes are received and distributed according to policy by verifying prerequisites have been met. Creates and manages course waitlists. *Serves and supports the departmental Undergraduate Affairs Committee*Serves as the departmental eGrades coordinator. *Uses Student Access and Retrieval System (STAR) system to access and/or input information regarding student, course, or instructor information. *Responsible for coordinating the departmental activities for the Annual Spring Open House, summer orientation tours, Discover Engineering First-year and transfer students event, speed advising and major elective advising events, recruiting events, and departmental workshops/meetings with undergraduate students.


  • 5% Undergraduate Program Coordination - *Provides back-up to Undergraduate Program Coordinator and Student Affairs Manager for such tasks as support to the departmental Undergraduate Curriculum Committee. Includes but not limited to: schedules meetings, collects student and enrollment data, provides necessary handouts, and prepares and disseminates minutes. Ensures that documentation is completed for decisions made by the Committee. *Provides back-up to Undergraduate Program Coordinator and Student Affairs Manager for such tasks as ordering textbooks and desk copies for both graduate and undergraduate courses.


  • 10% Administrative Support - *Distributes and maintains copy codes. *Serves as first point of contact in control of scheduling the departmental conference rooms. Makes reservations for all student presentations and faculty meetings as needed. Keeps conference room policy updated and available. *Assigns keys for the department. Independently maintains key database regarding key ownership, checks out keys to faculty, staff and graduate students. Communicates with lock shop regarding key distribution. *Prepares quarterly office hours for faculty and TAs, including times, locations and email information. *Disseminates mail daily *Other duties as assigned by Chair, MSO or Student Affairs Manager
