Responsibilities:

This role will be responsible for management of faculty affairs in one or more units, organizing all Department Events and Meetings, and managing the overall space and facilities of the Department. This role will report to the Associate Dean of Administration and Finance, with an initial dotted line to the Administrative Specialist in the English Department.

The role includes assistance to the Department Chair in the form of maintaining their calendar, coordinating meetings, and providing office support in terms of spreadsheets, informational charts, and research related to the Chair's initiatives. They will attend Department and Programs Meetings, take minutes, and be responsible for distributing notices and materials for those meetings. The role will be responsible for all administrative support for Tenure and Promotion cases, the collection and organization of all Merit materials, organization and tracking of faculty course loads and service loads, and maintaining personnel records on all faculty. They will also be the primary administrative coordinator of all faculty searches. They will be the main source of information for department faculty, disseminating key information to faculty and collecting information in return. Frontline support to faculty for various administrative issues.

The Academic Administrative Coordinator will be responsible for organizing Department events, including guest lectures, student events, end of year graduation celebrations, workshops, etc. This includes handling communication with speakers, organizing their travel and handling reimbursements, locating space, working with faculty on decisions about appropriate venues, food, and scheduling. They will be responsible for putting events on the Department, CSSH, and University calendar. They will work with the Graduate and Communications Coordinator to design and implement marketing and communications initiatives to support events and to advance the strategic and operational goals of the Department. The position also directly supports the College of Social Sciences and Humanities Director of Marketing and Communications' efforts to develop and implement a comprehensive strategic communications and marketing plan to strengthen the visibility, stature, and reputation of the college and its mission in the Experiential Liberal Arts and actively position it with its key constituents and critical audiences.

The Academic Administrative Coordinator will also include oversight of the Department's space allocations, including responsibility for assigning offices, managing the booking of Department spaces, and handling facilities requests.

Qualifications:

Bachelor's degree required, with 2 - 5 years of progressively responsible administrative support experience, or relative combination of education and experience required. Experience working in higher education is a plus.

Strong candidates have:
  • the ability to work in a flexible and innovative environment, both independently and as a collaborative team member;
  • excellent interpersonal and written communication skills (including very strong writing and proofreading skills);
  • demonstrated experience coordinating and executing events from vision to event date;
  • outstanding customer service and organizational skills;
  • proficiency with MS Office products (Word, Excel, Outlook, PowerPoint, Teams);
  • experience with web design, marketing, and communications
