Job Description:

Madison College is seeking a Virtual Events Specialist who will be responsible for coordinating and planning events. This position will coordinate live and virtual events including logistics, technical needs, facilities planning and act as the point-person for all event partners. This is a full-time, non-exempt, 40 hours per week position. Working hours are flexible and are generally Monday - Friday from 8:00 a.m. - 4:30 p.m . The position will be remote until a more wide-spread return to campus occurs. This position is grant funded through December 23, 2021, continuation of this position is dependent on continued grant funding beyond this date.

SUMMARY:

In response to increased demand for virtual student support services during the pandemic, this position will support cross-functional event and logistical planning coordination. The position will lead, coordinate, and assess a variety of fully virtual and hybrid events for students and partners.

This role provides direct event support to the Director, Advising Manager and the Transfer Center & Services Coordinator. Successful virtual event coordination has a direct impact on the student experience.

This position is housed in Student Access and Success (SAS) and works closely with other student affairs staff (DRS, Testing, Enrollment Services, etc.), faculty, other student service offices, administrators, and our university partners to ensure the success of students. This position reports to the Director of Advising, Career & Employment and Transfer Services.

DUTIES/RESPONSIBILITIES:
  • Coordinate Student Access & Success (SAS) Cross Functional, Advising and Transfer events.
  • Coordinate peak time virtual student service delivery district-wide (Term Start, Continuing Student Registration, etc.).
  • Coordinate live and virtual events including logistics, technical needs, facilities planning and act as the point-person for all event partners (Online Live Student Workshops, Advising Learning Series, Faculty Advising, etc.).
  • Oversee registration processes and event marketing logistics (web updates, etc.).
  • Leverage a variety of virtual technologies to enhance the student experience.
  • Collaborate with event stakeholders to ensure smooth technical user experience.
  • Assess event and service outcomes; adjust event plans accordingly.
  • Lead Cross-College virtual student services planning teams.
  • Coordinate 20+ member cross-functional Term Start Planning Team.
  • Provide regular planning team updates to College leadership and stakeholders.
  • Develop and deliver internal Event-related trainings and communications.
  • Ensures continuous communication among staff and external and internal partners.
  • Communicate event plans to various stakeholders across the College.
  • Maintains a commitment to the college mission, vision, and values. Comply with college policies, directives, and work rules.
  • Other duties as defined by department, college, or officials.


KNOWLEDGE, SKILLS & ABILITIES:
  • Ability to manage and execute event processes from start to finish.
  • Ability to initiate work, work independently or with limited supervision, and make decisions with minimal direction.
  • Ability to manage projects, lead others and anticipate next steps.
  • Ability to provide outstanding customer service and contribute to a welcoming and inclusive event and office environment.
  • Ability to work as a team member using the principles and techniques of continuous improvement.
  • Ability to work with detailed information, assemble and organize data and prepare reports.
  • Skill in leveraging databases and technology tools (Microsoft Office Suite, SharePoint, Eventbrite, PeopleSoft, Navigate, Social Media, etc.).
  • Skill and interest in supporting diverse populations.
  • Knowledge of marketing/communications, office practices and procedures, grammar, spelling, punctuation, and proofreading.
  • Knowledge of FERPA and ability to maintain confidentiality.


MINIMUM REQUIREMENTS:
  • Associate's degree from an accredited institution in event management, project management, education, human services, social sciences, IT, or tech-related field of study OR two (2) years (4,000 hours) of directly related work experience. Bachelor's degree preferred.

*Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • One (1) year (2,000 hours) of directly work-related experience in higher education or related social service field.
  • Bilingual in Spanish or Hmong preferred.
