Program Coordinator, Foundation

Under general supervision, the Program Coordinator of the Foundation is responsible for the recruitment of students into Foundation programs and for the monitoring of program funds for the successful operations of the programs. The position will be responsible for monitoring grant funds for the disbursement of scholarships and the procurement of supplies/services. The position will be responsible for the development of program events, and activities that will assist in the administration of the programs, create awareness of such programs and with the recruitment of students. 

  1. Organizes the activities of Foundation programs such as, but not limited to, the Hixon Teacher Preparation Program, the Boone Achievement Awards, the Risser Awards, and other scholarship programs.  (E)
  2. Reviews student data to verify student eligibility for scholarship.  (E) 
  3. Review disbursement paperwork to approve the release of program funds.  (E) 
  4. Monitors grants associated with foundation programs to track expenditures, forecast future expenditures, and ensure grant funds are being used according to grant guidelines.  (E) 
  5. Conducts workshops for a variety of foundation programs. (E) 
  6. Collects data in an effort to evaluate the overall success of recruitment and outreach efforts into foundation programs. (E) 
  7. Develops program timelines. (E) 
  8. Organizes the selection process for internships. (E) 
  9. Organizes outreach efforts to support the recruitment of students into the program. (E) 
  10. Develops purchasing requisitions for all foundation programs. 
  11. Monitors program supply needs by keeping inventory records and ordering supplies. 
  12. Organizes a variety of events for foundation programs by selecting speakers for workshops and organizing catering services. 
  13. Reserves campus spaces for various departmental events, meetings, and functions. 
  14. Ensures that program materials and equipment are checked out appropriately. 
  15. Performs related duties as assigned.

MINIMUM EDUCATION/EXPERIENCE

A High School Diploma or equivalent AND 3 years of experience.

KNOWLEDGE, SKILL, AND ABILITIES - May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

KNOWLEDGE OF: 

  1. Customer Relation Software 
  2. Event management software 
  3. Cloud accounting software 
  4. Data collection techniques
  5. General office software and equipment

SKILL TO: 

  1. Use customer relation software to review program applications, monitor application scores, retrieve data, and award scholarships.
  2. Use cloud accounting software to monitor grant funds, develop purchase requisitions, organize the disbursement of funds, produce checks, retrieve program and financial data. 
  3. Use event management software to reserve campus spaces.
  4. Apply knowledge of data collection techniques to develop methods to assess the effectiveness of programs and recruitment methods. 
  5. Use general office software and equipment to develop reports, event materials, presentations, recruitment materials, aggregate data, and communicate with campus staff and students.

ABILITY TO: 

  1. Ensure that grant funds are being used appropriately.
  2. Effectively analyze data to make recommendations for program improvement.
  3. Effectively work independently.

PHYSICAL ABILITIES

The position will continuously (5.6 hours - 8 hours) be required to exhibit the ability to communicate with District staff, students, and external stakeholders to provide information. The position will continuously (5.6 hours - 8 hours) exhibit the ability to sit, use of sight and fine manipulation to operate a computer and general office equipment. 

WORK ENVIRONMENT

Continuously (5.6 hours - 8 hours) work in an indoor office environment within a moderate temperature and have continuous contact with customers, end users, and the general public.
