Position Summary:
Metropolitan State University of Denver is seeking applicants for a full-time Administrative Assistant position to work in the Department of Computer Sciences. This person is responsible for providing technical, student, clerical, and administrative program coordination for the department as well as for performing daily office tasks. Duties include but are not limited to administrative assistance to the chair and faculty of the department; oversight of the day-to-day operations of the department; advising students and providing support services; supervising departmental student employees; and managing budgets and expenses.

Duties/Responsibilities:
Provide administrative support to the chair, faculty, and department unit
Perform front office reception
Monitor voicemail and departmental email accounts, answer phone calls, emails, and routine letters
Direct inquires to the appropriate faculty or staff
Respond to a variety of non-routine, high-priority inquiries from faculty, staff, and students
Help organize and schedule meetings or department special events
Take notes at meetings and distribute copies to members of the department
Assist with the documentation and the requesting and approval process of faculty travel
Track the inventory of office supplies/equipment and order more when necessary
Submit and keep track of department (or faculty) orders and expenses
Write official newsletters, memorandums or other departmental documents upon request by the faculty chair
Process students overrides requests authorized by faculty
Coordinate department internal and external communications; this includes content development, editing, and maintenance of website and social media, and maintenance of contact information related to students, alumni, and organizations
Develop, implement, and optimize office procedures and workflows;
Understand, communicate, and assist faculty and students in interpreting of administrative policies
Compile data and prepare reports when requested by the department chair
Assist with the management of faculty searches and make travel arrangements for candidates
Assist with course scheduling and submission.
Advise students on course selection, scheduling, and registration; participate in new student orientation; and identify and support students who are not reaching program milestones
Supervision of Department Personnel
Process hiring requests, interview, hire, and train administrative student employees
Supervise administrative student employees; approve, monitor, and sign timesheets and leave requests; and sign performance goals and appraisals.
Administrative/Budget/Expenditure Responsibilities
Ensure compliance with state and university fiscal policies within the department
Maintain the departments budget by creating and revising procedures, authorizing and being accountable for the departments designated funds, recoding transactions, and detecting funding problems or accounting discrepancies
Prepare budget requests, purchasing requisitions, and billings for payment
Authorize and be accountable for the departments general fund account
Authorize expenditures in other departmental accounts.


Required Qualifications:
Professional experience providing general clerical, office, or administrative support
Experience providing customer service and working directly with the public and internal staff
At least medium experience using Microsoft 365 Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint, and Forms
Demonstrated ability to multi-task and prioritize numerous tasks to meet competing deadlines.

Preferred Qualifications:
Bachelors Degree
Strong interpersonal skills and the ability to communicate effectively with faculty, staff, students, and the general public
Professional experience as an administrative assistant in a higher education institution or similar environment
Experience using Ellucians Banner or comparable student information systems
Demonstrated ability to work as part of a team and within other collaborative work situations
Experience organizing and coordinating schedules and projects
Ability to work independently with minimal direction
Proven leadership ability
