About the Opportunity:
The Administrative Assistant in the School of Public Policy and Urban Affairs (SPPUA) serves multiple critical roles within SPPUA including: (1) Office Management. He/she manages administrative concerns of the SPPUA office on a day-to-day basis including managing the physical space, offices and common areas, purchasing supplies, staffing the front desk, interacting with visitors, staffing search committees, coordinating seminars, etc. In this capacity, this position is a fully in-person, on-campus role. This role oversees work-study students who assist in day-to-day activities of the School. (2) Events. Responsibilities include coordinating SPPUA events collaborating with other staff, faculty, students and alum as appropriate for each event to reserve the space, order food and drink, send out invitations, and manage set-up and clean-up. (3) Assistant to the Director. This individual works closely with the Director to manage the Director's calendar, assist with preparing for school-wide meetings, retreats, and events, and collaborates with the Director to grow and develop relationships internally and externally. (4) External Engagement. This position plays a central role in coordinating communications with the SPPUA Advisory Committee and coordinating with Northeastern's advancement staff on executing strategies for enhanced alumni/donor engagement.

Responsibilities:
  • Office Management: Manage the front reception area, office space and assist with general requirements. Hire and supervise a team of students who staff reception area and support SPPUA; assist with onboarding and off-boarding of faculty, staff and students; staff SPPUA-related search committees, organize phones, computers, photocopiers, printers and other equipment as needed; coordinate the ordering of office supplies; general care of the office environment, and special projects as assigned. Manage office space for faculty, staff and visitors within SPPUA.
  • Events: Coordinate and execute SPPUA events and seminars under guidance and direction of other SPPUA faculty and staff, plan internal and external events in promotion of SPPUA initiatives pertaining to student services, fundraising, research, grants, faculty, staff and student recruitment, community engagement, and others assigned to further the School's mission.
  • Assistant to the Director: Schedule Director meetings as requested; assist Director in preparing for school-wide meetings, retreats, advisory committee meetings and other meetings as assigned and orchestrate administrative needs, involving notes, agendas, technology, etc. Coordinate internal and external communication.
  • External Engagement: Facilitate logistical and administrative matters regarding SPPUA's advisory council, member's participation; plan and execute advisory meetings, including agenda structure. Support Director and CSSH advancement team with managing relationships with external partners including the SPPUA advisory team, the growing network of alumni, and others. Provide support to actively engage alumni to foster a stronger network for fundraising and career advancement opportunities. Assist with the design and implementation of the fundraising strategy for SPPUA, including support for new initiatives for engagement with corporate partners and individual donors. As necessary, this individual will work with SPPUA communications staff and CSSH development staff to create communications with related constituents and, when appropriate, work with this staff and Northeastern's Annual Fund staff to distribute appeals.

Qualifications:
Bachelor's degree required, 2 years of administrative experience preferred. This position requires a highly motivated, entrepreneurial, energetic individual with strong interpersonal communication skills who can think independently and analytically. The ideal candidate has direct experience engaging a diversity of constituents and excellent written and oral communication skills. The candidate also possesses excellent attention to detail, is highly collaborative, proactive, can anticipate problems, be resourceful, is able to work effectively with colleagues and external constituents at all levels, and exhibits clear and concise communication skills. Ability to juggle many tasks, and capable of handling confidential material as needed. Knowledge of Microsoft Word, Powerpoint, Outlook, Excel. Experience with databases and Salesforce a plus.
